Introduction

A wedding budget calculator is the difference between guessing and knowing. Most couples start with a lump sum and a vague sense of what things cost, then discover halfway through planning that the venue alone eats half the budget. This tool was built for engaged couples, wedding planners, and anyone helping someone else pay for a wedding. It takes your total budget, subtracts a contingency buffer you control, then distributes the remainder across thirteen categories based on percentages you set. You see the dollar amount for each line, the cost per guest, and a live visual of how the pie splits. The math runs entirely in your browser, so nothing you type leaves your device.

How to Use the Wedding Budget Calculator

  1. Select your currency from the dropdown, twenty-two options are available, from USD to PKR.

  2. Enter your total wedding budget in the first field (default is $30,000).

  3. Type your expected guest count: this drives the per-guest cost calculation.

  4. Set a contingency buffer between 0% and 20% (5% is the default recommendation).

  5. Adjust the category percentages to match your priorities, the tool shows each category’s dollar amount as you type.

  6. Click “Defaults” to restore industry-standard percentages if you want to start over.

  7. Press “Equalize” to split the budget evenly across all thirteen categories.

  8. Review the result badge and analysis at the bottom for a plain-language interpretation of your plan.

How the Wedding Budget Calculator Formula Works

The calculator uses a two-stage allocation model. First, it reserves your contingency buffer. Then it distributes whatever remains across categories by percentage.

Formula: Contingency Amount = Total Budget × (Contingency % ÷ 100)

Formula: Allocatable Budget = Total Budget − Contingency Amount

Formula: Category Amount = Allocatable Budget × (Category % ÷ 100)

Formula: Cost Per Guest = Total Budget ÷ Guest Count

The percentages you assign to categories should total 100%. If they total less than 90%, the tool flags your plan as under-allocated — you have money sitting unassigned. Above 105%, it warns you that you’ve over-allocated and are spending more than you have. The tool recalculates instantly on every keystroke, so you can experiment freely.

Worked Example

Suppose you’re planning a wedding with a $35,000 budget and 120 guests. You set the contingency buffer at 7%.

The contingency reserve is $35,000 × 0.07 = $2,450. That leaves $32,550 to allocate. With the default category percentages:

  • Venue & Catering (40%): $32,550 × 0.40 = $13,020

  • Photography & Video (12%): $32,550 × 0.12 = $3,906

  • Flowers & Decor (8%): $32,550 × 0.08 = $2,604

  • Music & Entertainment (7%): $32,550 × 0.07 = $2,278.50

  • Attire & Beauty (7%): $32,550 × 0.07 = $2,278.50

Your cost per guest is $35,000 ÷ 120 = $291.67. The tool labels this an “Average Wedding”  in line with U.S. norms. If you dropped the guest list to 100, the per-guest cost jumps to $350, but your venue and catering line might shrink if your vendor charges per head. That’s the lever most couples pull first.

Frequently Asked Questions

What percentage of a wedding budget should go to the venue?

Most planners recommend allocating 40–50% of your total budget to the venue and catering combined. If your venue line exceeds 55%, you’re above the typical range often a sign the guest list is too large or the venue is upscale relative to your budget.

How many guests can I invite on a $20,000 budget?

At $20,000, a budget-friendly wedding typically hosts 50–80 guests. That assumes roughly $250–$400 per guest. The exact number depends on your region, venue type, and whether you prioritize food and drink over decor or entertainment.

Does this wedding budget calculator work in currencies other than USD?

Yes. The calculator supports twenty-two currencies, including EUR, GBP, INR, PKR, AED, and JPY. Select your currency from the dropdown and all amounts update automatically.

What is a contingency buffer and why does it matter?

A contingency buffer is money set aside for unexpected costs vendor price increases, last-minute additions, or emergencies. Five to ten percent of your total budget is standard. The calculator subtracts this buffer before allocating funds to categories, so you never accidentally spend it.

Can I use this calculator for a destination wedding?

Yes. Destination weddings often shift percentages, transportation and photography may take a larger share, while venue and catering may shrink if you’re using a resort package. The calculator lets you adjust each category independently.

What happens if my category percentages don’t add up to 100%?

If they total less than 100%, the tool shows how much money is unallocated and marks your plan as under-allocated. If they exceed 100%, it warns you that you’ve over-allocated and are spending more than your budget allows.

Is this wedding budget calculator free to use?

Yes. The tool is completely free, requires no account, and runs entirely in your browser. No data is sent to a server.

How is cost per guest calculated?

Cost per guest is your total wedding budget divided by your guest count. It includes every category, not just food and drink. A $30,000 wedding with 100 guests has a cost per guest of $300.

Should I include rings and the officiant in my wedding budget?

Yes. Rings typically take 2–5% of the budget, and the officiant and license take 1–2%. These are easy to overlook but add up quickly, especially if you’re buying custom rings or hiring a professional officiant.

What is the average wedding cost in 2026?

Industry estimates place the average U.S. wedding cost between $34,000 and $36,000, with a median closer to $18,000. The difference reflects a small number of high-budget weddings pulling the average upward.

Can I save my wedding budget and come back later?

The calculator does not store your data between sessions. You can copy your results using the “Copy” button or share them with the “Share” button before closing the page.

How do I reduce my wedding budget without cutting guests?

Trim categories that don’t affect guest experience,  stationery, favors, and transportation are common targets. You can also shift percentages: reduce flowers from 8% to 5% and move the difference to photography or music.
